What does mail have to do with Energy and Environmental Conservation? More than you might think. Many departments within the University use mass mailings, whether it be for recruiting purposes or to Mailsend out important Alumni information. Whatever the reason, is your mailing list up to date? How much mail is tossed out because it never reaches it's destination?
Here are steps you can take to fine tune your mailing lists and in some cases reduce costs: 

  • Merge and purge mailing lists often to remove invalid names and addresses.
  • Provide frequent, clear opportunities for recipients to opt-in and opt-out.
  • Maintain your lists to prevent unwanted communications.
  • Allow recipients to specify their preferred method of contact.
  • Target mail efficiently using segmentation and modeling to select recipients.
  • Personalize your message to increase relevance and reduce waste.
  • Remove University staff and faculty from mailing lists and utilize the inter-departmental mail system.

Think about what you are producing to mail. There are steps you can take to make your mail more eco-friendly, such as:

  • Print on both sides of materials to maximize communication space and minimize paper use.
  • When using mail houses, seek out those that are close to the University to minimize transportation, reducing cost and using less fuel.
  • Take advantage of print-on-demand technology instead of printing large quantities and warehousing them until they're needed.
  • Use production methods that reduce print overruns, waste allowances and in-process waste.
  • Finds vendors that use renewable energy sources.
  • Collaborate with printers to insure the best use of press size;sometimes a slight alteration of the mail piece can allow more to be produced from each press sheet.
