Event services are only available after all academic support request have been honored.

If scheduling an event, please contact University Services before contacting AVCS.

Room reservations are the responsibility of the requestor; AVCS does not reserve rooms.

It is the responsibility of the requestor to create and load their content. AVCS strongly recommends testing documents in advance of events by coordinating a load/run test with the AVCS Manager. Installed applications are limited to Detroit Mercy standard applications which include the Microsoft Office Productivity Suite and Internet Explorer.

Please note the AVCS department does not provide event sound solutions. Event sound solutions are available through the CLAE-CST department. Connectivity to sound solutions is dependent upon the resources available from the sound department.

The AVCS department limits its event support to the McNichols campus. If an off-site event requires Audio-Visual services, limited equipment may be available through the University’s loaner program. When additional equipment is needed, the ITS Department recommends contracting professional services.

When services are required during a time at which the location is closed (e.g. during Christmas), the reserving department must make the appropriate arrangements with the Department of Public Safety for access.

Cancellation less than 48 hours prior to the scheduled event will be billed at the scheduled rate.

AVCS maintains the right to alter these policies and procedures without notice.

    Internal Event Fees

    Audio-Visual requests for events, outside of University scheduled classes and outside of the academic calendar, incur a use charge to cover the replacement costs and staffing.

    Equipment is reserved on a first-come, first served basis at the time the FOAP is provided. Internal departmental billing is the only method of payment; AVCS does not take cash. It is strongly recommended to make reservations as early as possible. The person renting the equipment is responsible for replacement costs due the damage to the equipment or equipment is stolen or lost. The fees include the setup and tear down of all equipment.

    Requests for Dedicated Staff Assigned to an Event*:
    Hourly Rate for each Student Employee............................... 10.00
    Hourly Rate for each Full-Time Employee............................ 50.00
    *Requests to have dedicated staff assigned to an event require a two-hour minimum and should be made two weeks in advance of the event.

    All Fees are per unit.
